EndNote: The EndNote interface

A guide to using EndNote X9

The EndNote interface

EndNote is divided in four sections:

  • Two tool bars:
    • the EndNote top bar: general functions of EndNote
    • the Library bar with functions for this particular library
  • Left screen: shows number of references in the library, latest download and number of references in the groups (subsections) of the library
  • Center screen: shows the imported references in your library or groups of the library
  • Right screen: gives a preview of the reference, the pdf of the reference, and the tool to add a pdf

In your EndNote Library you can see two toolbars:

1. The EndNote bar

Click on the items to see all the options for managing your library and references.

2. The Library bar

Options in this toolbar are among other things: searching online, searching the references in your library, add references manually or import text files. Mouse over the icons to see all the options.

In the left screen you'll find general information about your library.

All References: represents all references in your entire library. Anything presented in any subsection below all references is always part of the entire library and so presented in all references.

Configure Sync: Sync gives you the option to sync with your Endnote Online account.

Recently Added: Temporary library after adding references.

Unfiled: The number of records that is only filed in all references and not in groups.

Trash: The number of records that has been removed, but not permanently. Emptying trash will do that.

My groups: The number of records that has been filed in a group.

Find full text: Find the full text either from a selection of records or the whole library.

The center screen of your library presents a given number of fields from the imported references. You can also search in your preferences. Find more information about sorting and searching references in the 'Manage your library'-section of this LibGuide.

You can determine which fields will show in the center screen, with a maximum limit of ten columns in two ways:

1. Right click in the rule directly on top of the list of references. A pop up with field names appears. You can either select or deselect fields. The image shows a section of the field list. You can change the order of the fields by using the drag-and-drop method.

2. Open the EndNote preferences by selecting: Top bar > Edit > Preferences > Display fields.
Click Display Fields at the left, then select the Label field from the drop-down list for the column you want to assign to the Label field. You can also rename the Headings of the columns or reorder the fields.

The right screen in EndNote is the Reference panel. It consists of four elements:

  • Reference: shows details for the highlighted EndNote Record and allows editing of record data.
  • Preview: shows a preview of how the reference would look in a bibliography if formatted according to the selected style.
  • Attached PDFs: shows PDFs attached or linked to the record. The Open PDF button in the PDF panel's toolbar will open PDFs in a larger window for viewing and annotation.
  • Add a PDF-button (paperclip): Select a file to link to the reference.  Note: you can connect any file, also files that don't relate to the reference at all.
