Tilburg University has developed a unique tool that allows researchers to submit their application for the ethics review, data management, and GDPR processing register in one go: G.E.D. Started (GDPR, Ethics and Data Management Plan). In previous years, although this application form was integrated in terms of topics, it was a 30-page Word form.
With G. E.D. Started, a convenient online platform has been created that includes the workflow for applications and reviewing. Considerable interest in the tool has already been expressed by other universities. The Open University will develop its own version of the platform.
When starting a research project, you submit an application via G.E.D. Started. In the tool, you answer a series of questions: first about the research project itself, followed by three sections (depending on the type of research and the data to be collected and processed):
After submitting the form, it goes to the official secretary of the School’s Review Board. The latter assigns the necessary reviewers. The reviewers receive an invitation and review the proposal after which the official secretary informs the researcher. If the proposal is approved, after one or more rounds of reviews, it is sent to the Chair of the Board who has the final say. Once the proposal is approved, an approval letter is automatically generated and sent.
TSB has been using G.E.D. Started since September 2021, TLS started using it in February 2022, TSHD will start in September and the other Schools will follow later. What is still on the wish list for the somewhat longer term is the integration of the data management forms of the NWO and ZonMw in the tool so that no separate form, with mostly the same questions, needs to be submitted for this.
Reinjet Oostdijk, project leader of G.E.D. Started, about the experiences with the tool so far: "We have been working with G.E.D. Started for 9 months now and it is a huge improvement compared to our previous method. We get positive reactions from both the researchers and reviewers, and especially the skip-logic form is much appreciated. It also saves a lot of administrative work for the official secretaries, the time it saves can be used again for substantive issues."
G.E.D. Started is a platform in Power Apps, part of Microsoft Office365. You simply log in using your Tilburg University account. There is an extensive manual available for G.E.D. Started. Tilburg University heeft een unieke tool ontwikkeld waarmee onderzoekers hun aanvraag voor ethische toetsing, datamanagement en AVG-verwerkingsregister in één keer kunnen indienen: G.E.D. Started (GDPR, Ethics and Data Management). In voorgaande jaren was dit aanvraagformulier qua onderwerpen weliswaar al geïntegreerd, maar was het een dertig pagina’s tellend Word-formulier.
Met G.E.D. Started is een handig online platform gecreëerd waarin ook de workflow voor de aanvragen en het reviewen is opgenomen. Vanuit andere universiteiten is al veel belangstelling voor de tool getoond. De Open Universiteit gaat een eigen versie van het platform ontwikkelen.
Bij de start van een onderzoeksproject dien je via G.E.D. Started een aanvraag in. In de tool geef je antwoord op een reeks vragen: eerst over het onderzoeksproject zelf zijn en daarna volgen drie onderdelen (afhankelijk van het type onderzoek en de data die worden verzameld en verwerkt):
Na het indienen van het formulier gaat het naar de secretaris van de toetsingscommissie van de faculteit. Deze wijst de benodigde reviewers toe. De reviewers ontvangen een uitnodiging en beoordelen het voorstel waarna de secretaris de onderzoeker weer op de hoogte stelt. Als het voorstel wordt goedgekeurd, na een of meerdere review-rondes, komt het bij de voorzitter van de commissie terecht die er een laatste klap op geeft. Zodra het voorstel is goedgekeurd, wordt er automatisch een goedkeuringsbrief gegenereerd en opgestuurd.
Sinds september 2021 maakt de faculteit TSB al gebruik van G.E.D. Started, TLS is ermee gestart in februari 2022, TSHD gaat starten in september en de andere faculteiten volgen later. Wat voor de iets langere termijn nog op het verlanglijstje staat, is het integreren van de datamanagementformulieren van NWO en ZonMw in de tool zodat hiervoor geen apart formulier hoeft te worden ingediend met veelal dezelfde vragen.
Reinjet Oostdijk, projectleider van G.E.D. Started, over de ervaringen met de tool tot nu toe: “We werken nu driekwart jaar met G.E.D. Started en het is een enorme verbetering ten opzichte van onze vorige werkwijze. Vanuit zowel de onderzoekers als reviewers krijgen we positieve reacties, vooral het formulier met skip-logic wordt erg gewaardeerd. Ook voor de secretarissen scheelt het veel administratief werk, de tijdwinst die het nu oplevert kan weer gebruikt worden voor inhoudelijke vraagstukken”.
G.E.D. Started is een platform in Power Apps, onderdeel van Microsoft Office365. Inloggen gaat gewoon via je Tilburg University-account. Er is een uitgebreide Manual bij G.E.D. Started beschikbaar.
